Privacy Notice

This notice explains, in plain language, what information PlanSmart handles and how. It describes how the product works today. It is not legal advice, and it does not claim certification under any particular law.

Who PlanSmart serves

PlanSmart is a planning tool for teachers in The Bahamas, covering Preschool through Grade 6. Accounts are created and used by teachers. Students do not have PlanSmart accounts.

Information teachers provide

Account email and password (handled by our authentication provider), name, school name, grades taught, grading scale, timetable, school calendar entries and any settings you save.

Student information teachers may enter

Teachers may add class lists (student names and optional student numbers), grades, performance entries, classroom notes, and documents such as schemes of work or individual education plan (IEP) / special-needs notes. Teachers decide what to enter. We ask teachers to enter only what is necessary for their teaching.

Public exam information

When a teacher shares an exam link, a student enters the name they are asked to use, the access code, and their answers. PlanSmart also records timing information (start and submit times, time spent) and a privacy-preserving device identifier. That identifier is hashed on the server together with a secret value and is used only to limit repeat attempts and to slow down access-code guessing.

Generated and saved content

Lesson plans, weekly forecasts, assessments, resources, slide decks, newsletters, reports and assistant conversations you create are stored in your account so you can return to them.

Uploaded files

Files you upload (handwritten plans, timetables, calendars, schemes of work, IEP documents) are stored in private storage scoped to your account. Text may be extracted from a file so the app can use it in the features you choose.

How AI-assisted features work

When you ask PlanSmart to generate or convert something, the instructional context for that request (for example grade, subject, topic, your prompt, and where relevant your scheme-of-work text or uploaded plan text) is sent to an AI processing provider to produce the result. AI output is a draft and needs your review.

IEP / special-needs notes are not sent by default. They are included in a generation only when you tick the optional differentiation box on that specific generation form. When you do, notes are sent without student names or ID numbers and are shortened to a limited length. The setting is not remembered — it resets to off for every new generation.

What the public exam functions do not intentionally log

The public exam entry and submission functions were hardened so that request bodies, student answers, access codes, submission tokens and raw device identifiers are not intentionally written to function logs. Errors are logged generically. We cannot promise that no infrastructure provider records anything at all.

Why we handle this information

To operate your account, save your work, run and grade shared exams, produce AI-assisted drafts you request, support you, and protect the service against abuse.

Sharing and service providers

We do not sell information. We use service providers to run PlanSmart: a cloud hosting and database provider (which also handles authentication and file storage) and an AI processing provider for generation features. Information may also be disclosed where required by law.

Cloud and international processing

PlanSmart runs on cloud infrastructure and uses an AI processing provider. These services operate from data centres that may be located outside The Bahamas, so information may be processed abroad.

Security and its limits

Access to records is restricted per teacher account through database access rules, uploads are stored in private buckets, and public exam endpoints use access codes, tokens and rate limiting. No online service can be guaranteed secure, and we do not claim otherwise. Keep your password private and use a shared exam link only with your own class.

How long information is kept

Today PlanSmart does not delete records automatically. Information stays until you delete the relevant record in the app, or until an account deletion request is completed. If that changes, we will update this notice.

Access, correction, export and deletion

You can view and edit most of your information directly in the app, and download a convenience copy of your own records from Profile → Your Data. For anything else — access, correction, a fuller export, or account deletion — email privacy@plansmartbahamas.com. We may need to verify your identity before acting on a request. Requests are handled manually.

Student data responsibilities

Student information in PlanSmart is entered by the teacher acting for their school. The teacher and school are responsible for having the authority to use student information in this way, for telling families where required, and for keeping entries accurate and minimal.

Changes to this notice

We may update this notice as PlanSmart changes. The date at the top shows the current version.
